1. Overview, Platform Role & Multi-Service Framework

QWIKPRO PAYMENTS PRIVATE LIMITED ("QwikPro", "Company", "we", "us", or "our") operates as a technology infrastructure provider and digital intermediary. QwikPro engineers software solutions (including QwikCare, QwikDoc, QwikPharm, and QwikPe) and provides network integration protocols that connect patients, healthcare professionals, accredited diagnostic laboratories, licensed retail pharmacies, and financial networks into an interoperable digital health ecosystem.

Institutional Role Delineation: QwikPro itself is not a hospital, clinic, retail pharmacy, medical practitioner, diagnostic pathology laboratory, or inventory owner. QwikPro does not employ medical practitioners to dispense clinical advice, does not compound or dispense pharmaceuticals, does not hold physical custody of medicine stock, and does not operate physical pathology collection centers.

All professional medical consultations, diagnostic testings, drug dispensations, and pharmaceutical shipments are fulfilled solely and independently by third-party Registered Medical Practitioners (RMPs), certified laboratories, and licensed retail pharmacies. Because distinct transactions involve fundamentally different professional commitments and operational expenditures (such as reserved practitioner time slots, laboratory consumables and phlebotomist dispatch, pharmaceutical cold-chain controls, and enterprise software licenses), cancellation, return, and refund terms vary by transaction category.

All cancellation and refund requests are governed by this policy, subject to applicable service/provider terms and mandatory consumer protection regulations under Indian law.

2. Telemedicine & Doctor Consultation Bookings

Virtual consultations booked with independent Registered Medical Practitioners (RMPs) through QwikCare or QwikDoc are governed by the following scheduling and cancellation terms:

  • Cancellation by Patient: Appointments canceled by the patient prior to the designated cancellation cutoff window (as displayed during booking, subject to the specific practitioner’s clinic policy) are eligible for a refund or full credit for rescheduling. Cancellations initiated after the cutoff window or failure to attend the scheduled session (patient no-show) may incur a cancellation fee or forfeit refund eligibility to compensate the practitioner for reserved time.
  • Cancellation or No-Show by Doctor: If a scheduled practitioner fails to join the virtual consultation or cancels due to emergency clinical duties, the patient is entitled to:
    • Immediate free rescheduling to the next mutually agreeable slot; OR
    • A full 100% refund of the consultation fee paid.
  • Technical Failure during Consultation: If a consultation cannot proceed due to verifiable platform server downtime or severe connectivity failure on the doctor's end, the patient will be offered a priority reschedule or an unconditional refund upon verification by technical support.

3. Software Subscriptions & SaaS Licenses

For clinics, doctors, and pharmacies subscribing to recurring SaaS tiers (such as QwikDoc Pro or QwikPharm Enterprise):

  • Subscription Billing & Renewal: Subscriptions are billed in advance on a monthly, quarterly, or annual cycle as selected at checkout. Subscriptions renew automatically unless canceled prior to the billing renewal date.
  • Cancellation Policy: You may cancel your SaaS subscription at any time via your administrator dashboard or by emailing billing support. Cancellation takes effect at the conclusion of the current pre-paid billing term; access remains active until the end of that billing period.
  • Refund Eligibility: Subscription fees are non-refundable for the elapsed portion of any billing cycle. Partial-month or partial-term refunds are not granted, unless an explicit trial period or satisfaction guarantee was contractually agreed upon in a written enterprise agreement.

4. Diagnostic Tests & Sample Collection

Diagnostic laboratory tests and home phlebotomy visits arranged through partner diagnostic centers:

  • Cancellation Prior to Dispatch: Bookings canceled before the laboratory phlebotomist or technician has been dispatched to your designated premises are eligible for a full refund.
  • Post-Dispatch or Completed Collection: Once a phlebotomist has arrived at your address or biological specimens (blood, urine, swabs) have been collected, fees are non-refundable as collection costs and disposable clinical consumables have already been expended.
  • Sample Inadequacy: If a collected sample is determined by the diagnostic laboratory to be hemolyzed or insufficient for testing, the laboratory will provide a complimentary repeat sample collection at no additional charge in accordance with its standard clinical operating procedures.

5. Pharmacy Orders, Physical Fulfillment & Return Guidelines

All prescription medications, over-the-counter (OTC) healthcare items, and wellness products are sold and fulfilled exclusively by independent, state-licensed retail pharmacies (holding valid Form 20 and Form 21 licenses under the Drugs and Cosmetics Act, 1940 and Rules, 1945), connected via QwikPharm or open network commerce protocols (such as ONDC):

5.1 Seller Responsibility & Fulfillment Authority

The licensed partner pharmacy—not QwikPro—is the lawful seller of the product. The fulfilling pharmacy is solely responsible for verifying prescriptions, dispensing approved drugs, maintaining cold-chain integrity, ensuring packaging seals are intact, verifying batch numbers and expiry dates, and complying with statutory drug dispensing laws.

5.2 Damaged, Defective, Incorrect, or Short Deliveries

If an order is delivered with physical transit damage, broken outer tamper-evident seals, past expiration dates, discrepancy from the prescribed item (incorrect medicine, wrong strength, or wrong formulation), or short quantity / missing blister strips, you must report the issue within forty-eight (48) hours of receipt:

  • Evidentiary Requirement: Supporting photographs clearly displaying the outer parcel, the shipping label, the batch number, and the specific defective or incorrect item must be submitted with your request.
  • Patient Safety Precaution: If packaging appears tampered with, unsealed, or leaked, do not consume or administer the medication.
  • Resolution: Upon verification of seller or logistics error, the partner pharmacy will arrange an expedited replacement of the correct items or a full refund of the affected item amount.
5.3 Return Intake, Inspection & Reverse Logistics

Where a physical return is approved for an incorrect, defective, or recalled product:

  • Reverse Pickup: For verified seller or transit defects, reverse courier pickup is arranged at zero reverse shipping charge to the customer.
  • Physical Intake Inspection: All returned consignments are delivered back to the fulfilling partner pharmacy for physical inspection. To qualify for a refund, returned items must remain unused, in their original manufacturer blister packs or packaging, with undamaged seals and verifiable batch numbers matching the invoice.
  • Rejection of Tampered Returns: If an inspected return reveals intentional tampering, unauthorized substitution, missing contents, or damage occurring post-delivery, the fulfilling pharmacy reserves the right to reject the return and decline refund issuance.
5.4 Statutory Non-Returnable Products

In strict compliance with the Drugs and Cosmetics Act, Good Pharmacy Practices, and hygiene mandates, the following product categories are strictly non-returnable once successfully delivered, unless proven defective or damaged upon arrival:

  • Cold-Chain & Biologicals: Temperature-sensitive medications requiring continuous cold-chain refrigeration (e.g., insulin, vaccines, human biologicals, sera, eye drops) cannot be returned once handed over, as temperature variations outside controlled conditions destroy therapeutic efficacy.
  • Opened Consumables & Regulated Ingestibles: Any pharmaceutical strips, syrups, powders, ointments, or wellness supplements where the manufacturer safety foil, cap seal, or carton has been opened, punctured, or tampered with.
  • Personal Hygiene & Intimate Wellness: Personal diagnostic devices (such as glucometer test strips or lancets), maternal and baby feeding accessories, sanitary products, and sexual wellness items.
  • Customized or Compounded Products: Items prepared to specific individual patient specifications.
5.5 Prescription Medicines, Alterations & Recalls
  • No Remorse Returns on Prescription Medicines: Under statutory drug rules, prescription medicines lawfully dispensed cannot be returned for customer convenience, remorse, or preference.
  • Doctor-Altered Prescriptions: If a consulting practitioner alters or discontinues a medication regimen after order placement, return of unopened, unsealed medicines remains subject to the independent pharmacy's return policy and requires submission of the superseding medical prescription.
  • Regulatory Batch Recalls: In the event of an official pharmaceutical batch recall mandated by manufacturers or statutory regulatory authorities (CDSCO / State Drug Controllers), the fulfilling pharmacy coordinates product retrieval and an immediate 100% refund.

6. Order Processing, Fulfillment, Delivery & Cancellation Framework

Order processing, delivery fulfillment, and cancellation rights depend on the transaction stage, the underlying merchant or healthcare provider, and independent logistics carriers:

6.1 Order Processing & Pharmacy Verification

When an order or booking request is submitted on the Platform, transaction details are electronically transmitted through our technology infrastructure to the fulfilling licensed pharmacy, laboratory, or applicable merchant. Order acceptance and fulfillment depend entirely on the fulfilling provider. For prescription-based medications, fulfillment remains strictly subject to prescription review and verification by a registered pharmacist in compliance with applicable drug rules. The partner pharmacy performs inventory checks, dispensing, packaging, and physical handover to logistics carriers. QwikPro does not own, store, or hold medicine inventory, and does not independently warrant merchant stock availability.

6.2 Estimated Delivery Timeframes, Tracking & Transit Delays

Delivery timeframes and turnaround windows communicated on the Platform are operational estimates provided by fulfillment partners and third-party logistics carriers. Actual delivery schedules may vary due to pharmacy processing duration, product stock availability, delivery destination geography, courier capacity, weather conditions, road closures, transportation strikes, or local administrative restrictions.

Shipment Tracking: Where shipment or delivery status information is made available by the fulfilling seller, originating Buyer App, ONDC participant, or logistics provider, such information may be displayed or communicated through the applicable platform interface.

Transit Delays: If a delivery appears delayed, customers may contact our Support Desk, and QwikPro will assist by coordinating with the applicable fulfillment or logistics participant to facilitate status updates and expedited tracking.

6.3 Order & Address Modifications

Customers may request an update to their delivery address or order instructions prior to the order being packaged or handed over to the logistics provider, subject to operational feasibility. Once an order has been packaged and assigned or handed over to a courier partner, delivery address modifications may no longer be possible. Where an address rerouting is accommodated by the fulfilling seller or carrier, any additional freight charges imposed by the carrier will be communicated to the customer.

6.4 Lost Shipments in Transit

Where a shipment appears materially overdue or is suspected of being lost during carriage, the customer should promptly notify our Support Desk. The matter will be escalated to the applicable fulfilling seller and logistics carrier for an operational tracking investigation. Where an order is formally confirmed as lost in transit under the applicable carrier and order workflow, the applicable seller/platform refund process will be initiated in accordance with the transaction and settlement terms, and a full refund of the amount paid will be processed to the original payment method.

A. Cancellation by Buyer
  • Pre-Packing / Pre-Verification: Medicine orders may be canceled free of charge before the dispensing pharmacy has verified the prescription and packed the consignment for transit.
  • Post-Packing / Assigned to Courier: Once a consignment has been packaged and assigned to a courier partner, cancellation in-app is disabled to avoid logistical disruption.
  • In Transit / Refusal at Doorstep: If a customer refuses delivery of a dispatched order without verifiable outer damage, actual reverse logistics charges incurred by the logistics provider may be deducted from the refund where permitted by applicable seller terms.
B. Cancellation by Seller / Operational Triggers
  • Stock Unavailability: If the fulfilling pharmacy experiences an unexpected stock-out or inability to source a specific molecule, the affected item is canceled with an immediate 100% refund.
  • Prescription Issues: Orders requiring an RMP prescription that fail validation or where the customer does not furnish an authentic prescription within 24 hours of ordering are auto-canceled.
  • Catalogue / Pricing Discrepancies: In the rare event of an obvious typographical error or regulatory MRP change, the seller reserves the right to cancel the order prior to dispatch with a full refund.

Logistics & Delivery Failures: If an independent logistics provider is unable to execute delivery after standard delivery attempts due to customer unavailability, unlocatable address, or phone unreachability, the shipment is returned to the seller (RTO). Upon intake verification, the seller initiates a refund subject to deduction of actual delivery expenses where authorized by transaction terms.

7. ONDC Network Architecture & Participant Responsibilities

Where transactions are conducted through the Open Network for Digital Commerce (ONDC), commerce operates across an unbundled, multi-participant architecture governed by ONDC Network Policies:

Network ParticipantDesignated Operational RoleRefund & Cancellation Responsibility
Buyer Application (Buyer NP)Consumer interface, order placement, and retail payment collectionInitiates cancellation requests, provides status tracking, and passes refund credits back to buyer
QwikPro (Seller-Side Network Participant / Technology Provider)Seller-side network interfacing, protocol routing, and technical connectivityTransmits protocol messages between Buyer App and fulfilling pharmacy; relays cancellation and refund statuses across the network
Fulfilling Seller (Licensed Pharmacy)Legal seller on record: product catalog, pricing, prescription verification, drug dispensation, and packingApproves or declines return requests, conducts physical inspections, and authorizes seller refunds
Logistics Provider (Logistics NP / 3PL)First-mile pickup, transit, cold-chain handling, and doorstep deliveryResponsible for physical transit handling, tracking updates, and reverse logistics carriage

For orders originating on ONDC, cancellations, return queries, and post-fulfillment issues should be initiated through the consumer's chosen Buyer Application in accordance with ONDC Issue and Grievance Management (IGM) protocols.

8. Payment Processing Fees, Platform Charges & COD Policy

Financial reconciliation of platform fees, statutory taxes, delivery charges, and payment gateway levies follows established fiscal principles:

  • Platform, Convenience & Technology Charges: Where applicable, digital platform, convenience, or software integration fees relate strictly to technology infrastructure, user interfaces, and network processing provided by QwikPro or the originating network application. Such fees are separately itemized on checkout summaries where charged.
  • Shipping & Delivery Charges: Shipping, delivery, and carriage charges relate to physical fulfillment, packaging, and transit transportation performed by or on behalf of the fulfilling licensed pharmacy, seller, or third-party logistics carrier. Applicable delivery charges depend on package weight, delivery distance, and carrier rate schedules, and are clearly displayed to the customer prior to final payment confirmation. If an order is canceled prior to packaging/dispatch or canceled due to seller stock-out or verified transit defect, 100% of delivery fees paid by the buyer are refunded. For returns initiated due to customer remorse or preference (where permitted), original shipping and carriage charges are non-refundable.
  • Statutory Taxes (GST): Where a complete order cancellation occurs prior to fulfillment or dispatch, all levied statutory Goods and Services Tax (GST) is reversed in full in accordance with GST rules. Where an order is returned post-delivery, the fulfilling seller issues an official credit note.
  • Coupons & Promotional Discounts: Promotional vouchers, discount codes, or promotional credits applied to an order are non-refundable and non-reinstatable upon partial cancellation or return. Refunds reflect only the net actual amount paid by the customer.
  • Cash on Delivery (COD) Policy: Transactions on the Platform are primarily prepaid digital settlements. Where Cash on Delivery (COD) is enabled by an underlying seller or network participant, cash refunds at the doorstep are not permitted. Refunds for approved COD returns are processed via NEFT/IMPS bank transfer after the buyer provides verified bank account credentials (account holder name, account number, IFSC code) via our secure support portal.

9. Refund Methods, Execution & Banking Timelines

Approved refunds are processed strictly through the original payment mechanism utilized during checkout (or via verified bank transfer for approved COD returns):

Payment ModeRefund Processing ChannelStandard Banking Settlement Timeline
UPI (Google Pay, PhonePe, Paytm, BHIM)Direct VPA Reversal via Banking Network24 to 48 Hours

Important Note on Execution: For SaaS licenses and doctor consultations, refund instructions are initiated within twenty-four (24) to forty-eight (48) hours of cancellation approval. For physical pharmacy orders, refund instructions are triggered within twenty-four (24) to forty-eight (48) hours after the fulfilling partner pharmacy receives, physically inspects, and approves the returned parcel. Final credit into your account is subject to your issuing bank's settlement schedule.

10. Disputed Deductions, Payment Failures & Chargebacks

To maintain financial integrity and provide rapid resolution for transaction discrepancies:

  • Payment Failures & Orphaned Deductions: If funds are debited from your bank account or card during checkout but the transaction times out and no booking confirmation/order number is generated, the underlying payment gateway automatically reconciles the transaction and executes a reversal within three (3) to five (5) business days.
  • Duplicate Deductions: In cases of confirmed billing duplicates caused by network latency, our finance team initiates immediate reversal upon verification of transaction logs.
  • Chargeback Protocol: If you believe an incorrect deduction has occurred, we strongly encourage you to contact our billing support desk prior to initiating a bank chargeback. Direct resolution through our support team is substantially faster than formal banking arbitration.
